Deleting multiple appointments

Occasionally you may need to delete multiple appointments that Academic Calendar has created for you, Typically this may occur if your timetable changes.

When Academic Calendar creates appointments from the Setup form it gives each appointment one or more categories and these can be used to display and then act on a group of appointments.

The first step is make sure that Outlook's Advanced toolbar is showing. If it is not then click on the View menu and select Toolbars. On the sub menu ensure that Advanced is ticked.

The contents of the Advanced toolbar change to reflect what you are viewing. When you are viewing Calendar there is a drop down box which normally says Day/Week/Month. Click the drop down and select By Category

The categories view shows the appointments in a list grouped by categories. The list can be expended or collapsed. If it looks like the screen shot below it is expanded and you need to collapse it.

 

Click the View menu and select Expand/Collapse groups. Click Collapse all groups.

The categories are listed in alphabetical order. There will be a category called Term Dates 07 and one called My Timetable 07. The suffix indicating the academic year may differ. There will be other categories which reflect the names given to timetable entries. In the example above the person entered CM Duty on their timetable. Clicking the plus sign to the left of the category causes the entries for that category to be shown, as above.

You can select appointments by clicking on them. If you want to select appointments that are not next to each other hold the CTRL button down as you click.

Once the appointments you want are selected just press the delete button and they will be deleted.

Then use the drop down list to return to the normal Day/Week/Month view
